What actually eats up a procurement team's week?

How does AI-assisted quote comparison actually work?

In practice, your team uploads the vendor quotes (PDFs, scanned copies, even photos of printed quotes) into an AI tool trained for document extraction. It pulls out the line items: unit price, quantity, taxes, delivery window, warranty period, payment terms. It puts all of that into one comparison sheet, vendor by vendor, so you are not manually retyping numbers from five different PDF formats into Excel.

What it saves you is the grunt work of transcription, not the judgment of comparison. A junior team member (or you) still needs to open each source quote and check that the extracted numbers match. AI extraction tools are good, not perfect, and a misread decimal point on a six-figure equipment quote is not a mistake you want discovered after the PO is issued.

Can AI draft purchase orders and RFQs on its own?

It can draft them, and that draft saves real time by skipping the blank template every time. But "draft" is the operative word. The AI-generated PO or RFQ should always route through the same approval chain your hospital already has: procurement head review, budget check, and sign-off before it goes out or gets issued. Nothing about using AI for the first draft changes who is accountable for what gets sent.

The same goes for contract clauses. AI can flag a payment term that is longer than your standard 30 days, or a liability clause that reads differently from your template. That is a useful second pair of eyes. Whether that clause is acceptable is still a decision for your procurement head or legal counsel, not the tool.

What should you never let AI decide?

These aren't arbitrary rules. Procurement decisions carry financial and compliance weight, and Indian hospitals already operate under audit and regulatory scrutiny that assumes a human made the call. AI helping you read faster doesn't change who is responsible for what gets signed.

Is this just another "50 AI tools" webinar in disguise?

A lot of what gets sold to procurement teams right now is a laundry list of AI tools to try: one for extraction, one for drafting, one for summarising, and so on.
